Bespoke Commission & Artwork Terms
The following information explains how bespoke commissions are developed at Engraved Glass Design, from the initial design stage through to engraving and dispatch.
1. Bespoke Design Service
Where a separate Bespoke Design Service fee applies, this must be paid before the Bespoke Design Service begins.
Your Bespoke Commission Summary will set out the applicable Bespoke Design Service fee, the total price of the finished commission and any remaining balance payable following artwork approval.
The Bespoke Design Service fee forms part of the total commission price, with the remaining balance payable following artwork approval.
Once the Bespoke Design Service has commenced, the Bespoke Design Service fee is non refundable as it relates to professional design services already undertaken, regardless of whether you subsequently decide to proceed with the finished engraved piece.
Any Additional Design Work required following a further request or change to the commissioned brief will be assessed and, where applicable, agreed and charged separately before that work is undertaken.
2. Commissioned Brief
Before the Bespoke Design Service begins, a Bespoke Commission Summary will be provided setting out the agreed commissioned brief, source material, intended finished commission and costs.
The Bespoke Design Service will be undertaken in accordance with the commissioned brief and source material recorded in the Bespoke Commission Summary.
Payment of the Bespoke Design Service invoice confirms your instruction for Engraved Glass Design to proceed with the Bespoke Design Service described in your Bespoke Commission Summary.
Any material supplied or requirements introduced after the Bespoke Design Service has been commissioned will be assessed before further work is undertaken and may constitute a variation to the commissioned brief.
Bespoke Commission Summaries, quotations and associated pricing are valid until the date stated. Where a commission is not instructed within that period, availability, pricing, timescale and other relevant requirements may be reassessed before the commission can proceed.
3. Bespoke Design Service Fee and Commission Price.
Where a separate design fee applies, this must be paid before design work begins.
Your Bespoke Commission Summary will set out any applicable design fee, the total price of the finished commission and any remaining balance payable following artwork approval.

Once design work has commenced, the design fee is non refundable as it relates to professional design services already undertaken, regardless of whether you subsequently decide to proceed with the finished engraved piece.
Any additional design work required as a result of a change to the commissioned brief will be agreed and charged separately before that work begins.
4. Engraving Layout
Once the Bespoke Design Service has been completed, an Engraving Layout will be supplied for review before engraving begins.
The Engraving Layout represents Engraved Glass Design's developed interpretation of the commissioned brief, prepared specifically for the selected glassware or display plaque, its physical characteristics and the technical requirements of sandblast engraving.
The Engraving Layout provides the opportunity to review the developed design and request one consolidated set of reasonable refinements within the commissioned brief. It is not an exploratory design stage for establishing a new or substantially different design direction after the Bespoke Design Service has begun.
Engraving Layouts should be reviewed at an appropriate size on a suitable screen or printed where necessary to assess detailed elements accurately. Artwork viewed substantially reduced or enlarged, or on a small screen, may affect the apparent spacing, alignment or scale of the design.
Please review the Engraving Layout carefully and check all factual information supplied for the commission, including where applicable:
• spelling
• wording
• names
• dates
• numbers
• other factual details
Sandblast engraving is a physical process carried out individually by hand. Minor variations in position, alignment, depth, line weight and very fine detail may therefore occur between the Engraving Layout and the finished engraving.
Engraving will only begin once the artwork has been approved in writing.
5: Refinements and Further Changes
One consolidated set of reasonable refinements within the commissioned brief is included as part of the Bespoke Design Service.
Refinements may include factual corrections and reasonable adjustments to the developed artwork within the commissioned brief.
The included refinement stage does not extend or alter the commissioned brief. Requests for new or substantially expanded wording, replacement or additional imagery, alternative artwork, a different design direction or other material changes will be assessed before further work is undertaken.
Further requests made after the included refinement stage has been completed are assessed by Engraved Glass Design according to the design and technical work required, together with the cumulative artwork development already undertaken within the commission.
Where a further request requires Additional Design Work, Engraved Glass Design will confirm the work required, any additional fee and any effect on the anticipated timescale before that work is undertaken.
Where a request materially changes the commissioned brief or finished commission recorded in the Bespoke Commission Summary, it will be assessed as a Commission Variation. Any resulting change to the commission, cost or timescale will be agreed before the variation is undertaken.
Minor additional refinements may be accommodated at the discretion of Engraved Glass Design. Accommodating a particular refinement without additional charge does not create an entitlement to further design work or extend the included refinement stage.
Where multiple requests are made, their cumulative effect on the scope and amount of design work required may also be considered. A series of individually minor changes may constitute Additional Design Work where, taken together, they materially extend the included refinement stage.
6. Artwork Approval and Customer Supplied Information
On completion of the Bespoke Design Service and before the commission proceeds to engraving, you will be asked to approve the artwork for engraving in writing.
Please check all names, wording, dates, numbers and other factual information carefully before giving approval. You are responsible for the accuracy of factual information supplied for your commission and for confirming that this information is correctly represented in the artwork submitted for approval.
Engraved Glass Design remains responsible for errors introduced during the Bespoke Design Service or subsequent agreed artwork development, and for engraving the approved artwork correctly.
Approval confirms that you have reviewed and accepted the artwork shown in the identified Engraving Layout, Consolidated Refinement Layout or Revised Engraving Layout for engraving.
Where an error introduced by Engraved Glass Design has also been approved by the customer, the appropriate remedy will be considered according to the circumstances.
7. Technical Suitability and Engraving
Engraved Glass Design retains professional judgement over the technical suitability of artwork for sandblast engraving.
Design decisions may take account of factors including line weight, typography, scale, spacing, level of detail, stencil integrity, engraving position and the characteristics of the selected glassware or display plaque.
Where supplied material or a requested design element cannot be reproduced reliably using the engraving process, this will be explained and an appropriate adaptation may be recommended.
Where a known technical limitation remains within approved artwork, engraving will proceed only once that limitation has been explained and accepted in writing.
Engraved Glass Design may decline to proceed with artwork or engraving where the requested approach is considered unsuitable for reliable reproduction or presents an unacceptable risk during production.
Where a commission involves customer supplied glassware or other items, Engraved Glass Design will assess their apparent suitability for the proposed work before accepting them for engraving. This assessment relates to technical suitability and does not guarantee against unforeseen breakage, cracking, chipping or other material failure during preparation, handling or engraving.
Customers should advise Engraved Glass Design before commissioning where a supplied item is particularly valuable, unique, sentimental, discontinued or difficult to replace. Customer supplied items are accepted and handled in accordance with the Customer Supplied Items provisions within our general Terms & Conditions.
Each piece is individually prepared and sandblast engraved. Minor variations may occur between individual pieces and between the approved artwork and the finished engraving as a result of the engraving process and the characteristics of the glass.
8. Balance Payment and Production
Once the artwork has been approved in writing, you will receive an invoice or private listing for the remaining balance of the commission.
Payment of the remaining balance is required before the commission can proceed to production.
The approved artwork will form the basis for engraving. Any changes requested after approval will be assessed according to the stage the commission has reached and may result in additional design, preparation or production work, cost or timescale.
Engraved Glass Design retains responsibility for determining when the approved commission is technically and practically ready to proceed to production.
9. Changes Following Approval
Once artwork has been approved in writing, that approval applies to the artwork shown and the commission may proceed towards production on that basis.
Any change requested after approval will be assessed by Engraved Glass Design according to the production stage the commission has reached.
Where a change can still be accommodated, it may result in Additional Design Work, new stencil or resist preparation, additional glassware or materials, additional engraving or production work, or a change to the anticipated timescale. Any resulting cost or timescale will be confirmed before the change is undertaken.
Where the approved artwork itself changes, a Revised Engraving Layout will be supplied before production continues.
Where production has progressed beyond the point at which a requested change can reasonably be incorporated, Engraved Glass Design may decline the change or, where appropriate, advise that replacement glassware or other additional work would be required.
A request made after approval does not take effect unless it has been accepted by Engraved Glass Design and any resulting cost, Revised Engraving Layout and timescale have been agreed before production continues.
10. Cancellation
If you cancel your commission before the Bespoke Design Service has begun, any Bespoke Design Service fee received will be refunded.
Where you ask Engraved Glass Design to begin the Bespoke Design Service during an applicable statutory cancellation period, you may be required to pay for the design services supplied up to the point at which you cancel. Where the Bespoke Design Service has been completed in full following your express request and acknowledgement, the statutory right to cancel that service will no longer apply.
Outside any applicable statutory cancellation period, if you cancel after the Bespoke Design Service has commenced, any financial adjustment will take account of the professional design services already undertaken and the stage the commissioned design work has reached.
Where Additional Design Work or other separately agreed work has been undertaken, any payment relating to that work will also be considered according to the work completed.
If you cancel after paying the remaining balance, any refund will be assessed according to the stage the commission has reached, together with work already completed and any project specific costs, materials or other commitments already incurred.
Where production has begun, any refund will take account of the work completed and costs already incurred or committed at the point of cancellation.
Any completed engraved pieces remain payable and will be made available for delivery or collection as appropriate.
If Engraved Glass Design concludes a commission before completion, the financial position will be assessed according to the stage reached, professional work already undertaken, goods or services supplied and costs or commitments already incurred.
Where Engraved Glass Design is unable to supply work or goods for which payment has been received and no corresponding work, cost or commitment has been incurred, the relevant payment will be refunded.
Engraved Glass Design may, at its discretion, make a commercial refund or other financial adjustment beyond any amount otherwise due. Any such adjustment does not alter the value or status of professional work already undertaken.
Nothing in this section affects your statutory cancellation or consumer rights.
11. Timescales
Timescales vary according to the nature, complexity and scale of each commission. The anticipated timescale for your commission will be set out in your Bespoke Commission Summary or, for larger commercial projects, the relevant quotation.
Any timescale provided is an estimate based upon the commissioned brief and the information available at the time the commission is accepted.
The production timescale begins once the artwork has been approved, the required payment has been received, all materials, glassware and other requirements necessary for production are available to Engraved Glass Design, and the commission is ready to proceed to production.
Changes to the commissioned brief, delays in approval or payment, delayed receipt of customer supplied goods or materials, or other circumstances outside the reasonable control of Engraved Glass Design may require the anticipated timescale to be revised.
Where a specific completion date is essential, this must be disclosed before the commission is placed and expressly agreed by Engraved Glass Design.
Dispatch and delivery are separate from the production timescale. Any delivery estimate provided is subject to the carrier's service and does not constitute a guaranteed arrival date unless expressly agreed otherwise.
12. Artwork and Copyright
Unless otherwise agreed in writing, artwork created or developed by Engraved Glass Design as part of the Bespoke Design Service remains the intellectual property of Engraved Glass Design.
Engraving Layouts, Consolidated Refinement Layouts, Revised Engraving Layouts, Technical Layouts, Presentation Visualisations, mockups and other artwork review files supplied by Engraved Glass Design are provided solely for the purpose of reviewing and approving the commissioned engraving. They may not be reproduced, adapted, traced, vectorised, processed through AI or other software, distributed or used externally without the express written permission of Engraved Glass Design.
Where a customer supplies artwork, logos, photographs, text or other source material, the customer remains responsible for ensuring that they have the necessary permission or rights for that material to be used as part of the commission.
